Hotel operations app

A task management app made only for hotels: front desk, housekeeping, maintenance and more. I designed it from zero, including its name, logo and brand, for three kinds of users.

The client and the app's name are kept private under NDA.

the brief

A task app made only for hotels

Most task apps are built for office teams. Hotels work differently: shifts change every few hours, and teams like front desk, housekeeping and maintenance repeat the same jobs every day.

The client wanted one app to run all of it, sorted by who is using it: the owner, the manager and the employee. It was a brand new product with no old version, so I also named it and built its brand identity.

what shaped the design

Three things I had to solve

Three people, three jobs

The owner wants the whole hotel at a glance. The employee only needs today's tasks. One screen can't serve both.

An idea still taking shape

The client was shaping the concept while we designed, so screens had to stay flexible through daily changes.

Staff speak many languages

Hotel teams are mixed, so choosing a language is the very first screen, before login.

the big decision

One app, three ways to use it

The biggest call was designing for three user roles, each with its own functions and screens, instead of one app with everything in it.

Owners plan and track. Managers run the shift with fewer controls. Employees see only the modules they're assigned to, tick tasks off and ask for help in one tap.

Owner

  • Sees every module and shift
  • Creates tasks and users
  • Gets daily, weekly and monthly reports

Manager

  • Uses the owner's screens
  • With fewer options, scoped to the shift
  • Keeps the team on track

Employee

  • Sees only assigned modules
  • Ticks tasks off and adds notes
  • Asks for help in one tap

the design

Built around the hotel day

Choose the language screen with English, Gujarati, Hindi and Espanol
Language first, before login.
Create a new task form with type, frequency, day and module
Tasks repeat on a schedule and go to one module.
Create a new user form with role and module access
Each person gets a role and only the modules they need.
Help screen with an immediate call button, emergency contacts and policies
Help is one tap away, with emergency contacts and policies.

Two views of the same shift

The owner sees progress across every team. The employee on the front desk sees only today's list, and ticks it off as they go.

what I learned

Keep adapting

The client was figuring out the concept while we designed it. Showing progress on daily calls and changing direction quickly worked better than trying to get it perfect the first time.
